Logistics Process Automation: Faster Clearance, Cleaner Invoicing

We help freight forwarders, customs brokers and warehouse operators in Oman and the GCC automate customs documents, invoicing and shipment tracking, and connect port and free-zone systems to their own.

Oman's strategic location, its ports at Sohar, Duqm and Salalah, and its free zones depend on fast, reliable logistics. Yet a single shipment can carry dozens of documents: bill of lading, commercial invoice, packing list, certificate of origin and customs declaration, all checked and re-keyed between systems by hand, where one small error can mean an extra day at the port and unplanned storage fees.

Our logistics automation work starts by simplifying the shipment cycle. We then use intelligent document processing to read the paperwork, RPA to enter it into portals and systems, and systems integration to keep data consistent. See our logistics invoice automation example.

Challenges we see in this sector

Customs documents re-keyed by hand

Clearance teams copy commercial invoice, packing list and HS-code data into the customs portal by hand, and any error delays release of the shipment.

Late invoicing and missed charges

Storage, handling and demurrage charges are gathered from several systems, so invoices go out late and some charges are simply missed.

Disconnected port and free-zone systems

Teams check shipment status on separate port, shipping-line and free-zone portals, then copy updates into their own system.

Constant 'where is my shipment?' calls

Dozens of WhatsApp messages and calls arrive daily about arrival and clearance times, pulling the operations team away from the work itself.

What we automate and improve

  • Intelligent reading of shipping documents

Extract data from bills of lading, commercial invoices and packing lists in Arabic and English, and check consistency before the customs declaration is prepared.

    Intelligent Document Processing
  • Bot for customs-portal data entry

An RPA bot prepares the declaration in the customs portal from extracted data, leaving final submission to the clearance officer after review.

    Robotic Process Automation (RPA)
  • Automated invoicing and charges

Collect storage, handling and transport charges automatically from WMS and TMS, and issue the invoice as soon as the job closes.

    Document Automation
  • Integrating port and carrier portals

Pull shipment status updates from ports and carriers automatically into the internal system, with no copy and paste.

    Systems Integration
  • WhatsApp shipment-tracking assistant

Customers send a shipment number and get its status and ETA in Arabic or English, with hand-off to a person when needed.

    Arabic Chatbots

Frequently asked questions

Can customs clearance be fully automated?
We automate most of the repetitive work: reading documents, checking they agree, and preparing the declaration in the portal. Final review and submission stay with the licensed clearance officer, who carries legal responsibility. That balance saves a lot of time without giving up control.
Can the solution handle poor-quality or handwritten documents?
Modern document-reading models handle scans and varied layouts well, and improve as the team reviews their output. Unclear or low-confidence documents are routed automatically to a person for review rather than being entered incorrectly into the system. Each correction feeds back into the model, so fewer documents need review over time.
How long does a first logistics automation project take?
A first project usually takes eight to twelve weeks, depending on how many document types and systems are involved. We start with one high-volume document type, such as incoming invoices, then extend to other documents once the first results have been measured.
